Internal system

Replacing Excel spreadsheets with a web system

Plenty of businesses run on spreadsheets: one for orders, one for stock, one for customers, and there is always one that only a single person knows how to fill in properly. I replace them with a shared web system that everyone uses with their own permissions.

The situation

When does a business outgrow its spreadsheets?

When the same data is kept in several spreadsheets and nobody is sure which one is current. When two people need to edit at once, or when a broken formula sends wrong figures on for weeks.

Also when the spreadsheet has become a report, a task list and a customer database all at once. At that point the spreadsheet is not the problem: the way the business works has outgrown it.

What I build

What replaces the spreadsheets?

  • A shared database where every piece of data appears once
  • Login and roles: who can see and change what
  • Forms that follow the way you work today, with checks so bad data does not get in
  • Reports nobody has to assemble by hand
  • Export to Excel, if your accountant or a partner still needs a spreadsheet
  • Migration of the data from the old spreadsheets, in checked steps

I also take over systems built by other developers

If an internal system has already been built for you, but the developer is unavailable or every change gets stuck, a rewrite is not the first step. I start with an audit: I review the code, the server and the release process, and write down what is risky, what is worth fixing, and what really needs replacing.

Then I take it forward phase by phase: first I sort out access and backups, then the new features can follow. The repository and the accounts are in your name, so you do not depend on a single developer, me included.

How do we start?

The first step is a free 30-minute call. After that, depending on the job, there are three ways to continue, and you see the price of each one up front.

Questions

Wouldn't an off-the-shelf tool or a better-built spreadsheet do?

Sometimes it would, and if I think so, I will say so. If a ready-made business or stock management tool works well for you, it costs less. A custom system pays off when your way of working is so much your own that you would be building workarounds around a ready-made tool.

What happens to the old data?

We move it across. First I check what state it is in, because old spreadsheets often list the same customer in several different ways. We test the migration on sample data, and only then do you switch over.

Do we have to stop work during the switch?

No. The new system is built alongside the old spreadsheets, and you switch over area by area as each part starts working. By the end of the first development phase your most important workflow already runs in the new system.

Tell me where things stand

A few sentences about the situation and what you want are enough. I reply within one working day, and we book a 30-minute call.
